Privacy Policy
Last updated: April 20, 2025
Welcome to Job Application Tracking. We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, and protect your data.
Information We Collect
We collect the following information when you use our application:
- Your email address from OAuth logins (Google, GitHub) for the purpose of user association and ensuring uniqueness.
How We Use Your Information
The information we collect is used solely for the purpose of providing and improving our services. Specifically:
- Your email address is used to associate your OAuth account and ensure uniqueness. It is not exposed, shared, or used for any other purpose.
Cookie Usage
Cookies are exclusively used for authenticating users as logged in. We do not use cookies to track user data or behavior. Instead of using digital analytics to watch user behavior, we prefer talking to our users directly to get the feedback we need to improve our product.
Data Security
We implement robust security measures to protect your data. Access to the application is secured through industry-standard authentication methods.
Data Sharing
We do not share your personal information with any outside sources or other users on the platform without your explicit permission. Your data remains private and secure.
If a governing body in a region we operate demands the data of a user within their jurisdiction and their request is both legally binding and non-negotiable, we will forfeit any such information we are legally bound to provide.
Sharing with Organizations
An organization is a career coach, college career center, bootcamp, or government workforce agency that uses Job Application Tracking to support the people they serve. Joining an organization and sharing a board with it are both entirely your choice.
- Membership is opt-in. You only belong to an organization after accepting an invitation, and staff cannot add you without one.
- Sharing is opt-in and per board. When you share a board, the organization can see that board’s applications, the jobs and companies attached to them, compensation, interviews, status history, and the insights computed for that board. An organization never sees your contacts, resumes, documents, personal information, email templates, your other boards, or your board settings.
- Staff at an organization you share with may leave feedback on an application in a shared board. That feedback is visible to you on your own application card.
- You can stop sharing a board, or leave an organization entirely, at any time. Doing either immediately removes that organization’s access and its feedback on the boards you unshared.
- Organizations are billed through Stripe. Stripe receives the organization’s billing details only — never yours, and never any information about the applications you track.
- Every organization keeps an audit log recording who did what within it, so its members can see how membership, sharing, and billing changed over time.
Chrome Plugin
Our Chrome plugin requires an access key provided to you. When you use the plugin:
- You can submit new job applications from the plugin by entering a company name and job name, along with the URL of the site. This data is used to log a new job application in the system.
Account Deletion
When you delete your account, all your data is irreversibly wiped from our database. Your user account and all associated job applications and any data you entered into the platform will be permanently destroyed.
You can delete your account by going to Menu > Settings > Delete Account.
We recommend exporting your job application data as a CSV for each application group you would like to retain before deleting your account.
Note: Any database backups may include your data, even after your account was deleted. In the case of a database rollback, we will make a best effort attempt to re-delete any accounts that were deleted after the backup was made. However, due to technical limitations, it may not always be possible to identify such accounts in cases of data loss.
Data Breach Notification
In the event of a data breach, we will notify all impacted users via the email address associated with their account. Email notifications will only come from an address with the domain @jobapplicationtracking.com, and we will never ask you for passwords, personal information, or make financial requests.
Governing Law
This Privacy Policy is governed by the laws of Raleigh, North Carolina.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on our website.
